Remote online notarization (RON) is the process of having a state-licensed notary public notarize a document remotely through the use of electronic signature, identity verification, audio-visual and electronic notarial journal and record keeping technologies. In a nutshell, we can notarize online, anywhere, and anytime connecting via a computer with a webcam and a smartphone.
Do you need a document to be notarized online? Here at Success Signings, LLC, we understand the importance of convenience and accessibility when it comes to notarizing documents. That’s why we offer online notarization services to our clients.
With Remote Online Notarization, you can get your documents notarized from the comfort of your own home, office, or hotel no matter where you are in the world.
Remote Online Notarization, commonly called RON, allows an authorized notary public to notarize an electronic document while the signer, witnesses (when required), and notary are in different physical locations. Instead of appearing before the notary in person, the signer appears through live, secure audio-video technology. An Arizona Online Notary is allowed to perform Remote Online Notarization in accordance with applicable state laws and administrative requirements.
While there are various online technology platforms that can be used to perform remote notarizations, all of them utilize a multi-factor identity verification process. Your documents are signed with the use of an electronic signature, notarized with a digital stamp, and securely stored online.
Depending on the platform and transaction, Remote Online Notarization typically includes:
Although procedures vary by platform and transaction, a typical Remote Online Notarization process includes the following steps:
Step 1: Review Organizational and/or Country Requirements
Before proceeding, the signer should first determine whether the organization and/or country receiving the document will accept documents that are electronically signed and notarized through Remote Online Notarization. Government agencies, courts, financial institutions, title companies, foreign authorities, universities, businesses, and other recipients may have their own requirements. If you plan to use your remotely notarized document in a foreign country, Success Signings LLC can also obtain the Apostille or Authentication Certificate for international use.
While a document that is notarized by a currently commissioned and properly authorized Arizona notary using RON technology, Success Signings LLC and our contracted notaries cannot guarantee or determine acceptance on behalf of the receiving organization and/or country.
Step 2: Finalize and Submit Documents
Prior to the day of your scheduled RON session, you will upload your finalized document(s) through our secure portal link. All signer, witness, document, and computer requirements and instructions will be emailed to you in advance once the finalized documents are received.
Step 3: Complete Identity Verification
You will be asked to go through an identity proofing process that includes Credential Analysis, Knowledge-Based Authentication (KBA), and Facial Recognition and must be completed in advance of the scheduled RON session.
-Credential Analysis
The signer submits an acceptable government-issued identification (ID) that is authenticated through automated forensic checks to validate security features and detect tampering.
-Knowledge-Based Authentication (KBA)
Signers must correctly answer identity questions generated from available public records, identity-history datasets, and credit reports. These multiple choice questions often related to things such as your mother’s maiden name, city you were born in, or street that you grew up on as a child.
Step 4: Meet With Online Notary
After the identity verification process is completed, the signer meets with the notary on their scheduled date and time through a live audio-video conference session.
The notary confirms the signer’s identity through a Facial Recognition test to properly verify your identity in real time during the live session. As with an in-person notarization, the notary must determine that the signer is willingly participating and meets the requirements for the requested notarial act.
Step 5: Electronically Sign Document(s)
Our Remote Online Notary will guide you and any other signers (and witnesses if required) through the document signing and notarization process with step by step instructions.
During the RON session, the signer(s) electronically signs their document(s). The Remote Online Notary completes the appropriate electronic notarial certificate(s) and applies the authorized electronic signature and notary stamp.
Step 6: Apply Tamper-Evident Protection
Our notary adds a “tamper-seal” to date and time stamp your notarized documents. The seal will indicate if the documents are altered in the future.
Step 7: Complete Audit Trail and Notary Record
Our Remote Online Notary completes the data entry for the notary journal that logs the basic details of the notarization in the same way that is done in a traditional in-person signing session. The journal can be kept in a secure digital format that includes a video of the notarial act, which can be used to prove who actually digitally signed the document.
Step 7: Receive Notarized Document(s)
You will receive a secure email with a PDF of the completed, digitally signed, and digitally notarized document from our Remote Online Notary after your RON session had ended.
For eligible documents, Remote Online Notarization can provide a practical alternative to meeting with a notary in person. The primary benefits are convenience, flexibility, speed and efficiency, enhanced security, and accessibility.
Depending on the availability of the necessary electronic equipment (a computer or tablet and a smart phone) and secure access to a stable internet connection, a signer may be able to participate in a RON session from any location, which can be especially useful when signers or other parties are geographically separated and cannot meet in person:
Success Signings, LLC will carefully guide you through the RON process from beginning to end for a stress-free and enjoyable remote online document signing and notarization experience.
