Remote online notarization (RON) is the process of having a state-licensed notary public notarize a document remotely through the use of electronic signature, identity verification, audio-visual and electronic notarial journal and record keeping technologies. In a nutshell, we can notarize online, anywhere, and anytime connecting via a computer with a webcam and a smartphone.

What Is Remote Online Notarization?

Remote Online Notarization is a method for notarizing a document remotely that utilizes electronic signature, identity verification, audio-visual communication, and electronic notarial journal and record keeping technologies. RON allows people from different locations to participate in the notarization of documents, which makes the process convenient and efficient for everyone. While there are various online technology platforms that can be used to perform remote notarizations, all of them utilize a multi-step identity verification process. Your documents are signed with the use of an electronic signature, stamped digitally, and securely stored online.

How Does The RON Process Work?

Prior to the day of your scheduled RON session, you will upload your document(s) through a secure portal link. All signer, document, and computer requirements will be emailed to you in advance to help ensure a successful RON session.

There are four general steps to complete a RON session:

Step 1: Identity Verification
You will be asked to go through an identity proofing process that includes Knowledge-based authentication (KBA), Credential Analysis, and Facial Recognition. Instructions on how to complete this process are provided to you ahead of time so you can be fully prepared for your RON session.

Step 2: Guided Audio-Video Conference
Once you have passed the KBA and Credential Analysis, you will be asked to perform a Facial Recognition test in order for the notary to properly verify your identity. Our notary will then guide you and any other signers (and witnesses if required) through the document signing and notarization process using electronic signatures, Notary seal (stamp), and digital certificate.

Step 3: Tamper-Proofed Documents
Our notary adds a “tamper-seal” to date and time stamp your notarized documents. The seal will indicate if the documents are altered in the future. You will receive a secure email with a PDF of the completed, digitally signed, and digitally notarized document right after your RON session had ended.

Step 4: Audit Trail and Notary Records
Our notary keeps a journal logging the basic details of the notarization in the same way that is done in a traditional signing session. The journal can be kept in a secure digital format that includes a video of the notarial act, which can be used to prove who actually digitally signed the document.
